To assist you in the organisation of your booth, please find information below including important dates and times, key contact details as well as important facts for the set up and dismantling of your exhibition booth.

If you have employed custom stand builders for your booth, please ensure you pass this information onto them also.

Exhibition Hire Services

Deliveries

The exhibition occupies Pre Function Area and the Tasman space, on the Grand Ballroom Level 1 at Grand Millennium Auckland.

All exhibitor/contractor deliveries must be made to the Grand Millennium's Loading Dock. Please refer to the Load in Access Guide for further details and for information on the 3 available delivery access points to ascertain the best point for your delivery.

Street entrance dimensions are 3.2m high by 1m wide. 

Vehicles and contents are the responsibility of the owner while on the loading dock. The loading or unloading of equipment is only permitted within the boundaries of the designated loading area as loading within the common areas of the building may impede or cause risk to others sharing the lot. In the case of an accident and/or damage, the RNA will take no responsibility for equipment during the move in, operational and move out periods. 

High vis vests are required to be worn when on the loading dock. High vis vests or clothing will need to be brought with you, as they are not available for purchase or hire. Smoking is not permitted on the loading dock or surrounding areas.

Please follow the instructions of the floor supervisor and loading dock marshals to ensure the smooth flow of traffic during this time.

**The Grand Millennium Auckland Delivery Label MUST BE USED on all goods delivered to the venue**

Move-in - Monday 13 October

Refer to above schedule. To ensure all exhibitors experience a speedy and trouble-free build of their exhibition, exhibitors and stand contractors must adhere to the access time provided. Access into the exhibition space prior to the scheduled time will not be permitted.

All exhibition booths must be completed and exhibitors moved in by 1300 on Monday 13 October 2025. 

Safety vests and enclosed shoes MUST be worn at all times during the move-in and out schedule.

Move-Out - Thursday 16 October

Move-out is from 1400 on Thursday 16 October 2025. All exhibitors are asked not to commence bump out until the completion of lunch. The prior consent of the Event Manager is required for exhibitors to move out or breakdown prior to the scheduled time.

Exhibitors must arrange for retrieval of their own empty cartons from storage at the conclusion of the event.

Please ensure the following items are packed in your on-site kit for the move-out:

  • Sufficient copies of the appropriate return address label
  • Sufficient copies of your courier company’s consignment notes, listing your company account number.
  • Contact details to book courier.
  • Packaging tape and scissors or a packing knife.

Please be aware that after the event there is limited storage available and any additional materials to be collected MUST be moved to the loading dock and labelled properly for collection. 

If you have organised a courier to collect goods, make sure that the consignment notice is completed and attached to secured packages.

Courier companies will not collect goods unless there is a completed and authorised consignment note. Consignment notes should include:- 

  • Sender Details (Exhibitor company name and contact telephone number) 
  • Receiver Details (Company name and full address) 
  • Signed dangerous goods declaration  o Completion of the “tick” box indicating “Receiver” to pay for goods being dispatched 
  • Method of transport i.e. road, air, express  

Couriers can collect from the loading dock up until 3pm on Thursday.  If not collected Thursday, goods can be collected up until 3pm on Friday 17 October 2025.   Note: the loading dock on Friday closes at 3pm.

IMPORTANT: The Grand Millennium Auckland and organisers accepts no responsibility for freight left without completed consignment notes or incorrectly completed consignment notes. All freight to be collected within 48 hours. The Grand Millennium Auckland reserves the right to dispose of any freight remaining onsite after this time.

Exhibition Package

Each 3m x 2m booth package includes:

  • 3m x 2m Shell scheme or space.
  • Acknowledgement in the Conference Website and Conference Handbook.
  • Company details and logo in the Conference App.
  • Two Exhibitor registrations (includes access to sessions, daily catering, and Industry Gala Welcome Reception).
  • Discounted exhibitor registration for additional staff.
  • Logo on the Sponsors Board and Sponsors reel at the Conference. 
  • Delegate list (name/organisation/state) supplied one week prior to the Conference.

    Shell Scheme includes:

    • Size: 3m x 2m 
    • Fascia board with company name
    • 2 x LED spotlights per booth
    • 1 x 10amp power point per booth 
    • 2.5m high aluminium frame with white panels
    • Venue flooring

    When attaching anything to walls, exhibitors are asked to only use blue tac, double sided tape, 3M tape.

    NO pins, nails, staples, screws, bolts, Velcro, paint, or glue is to be used to fix materials to the walls. Damage to panels will be charged to exhibitors.

    Furniture and audio visual equipment can be ordered through Exhibition Hire Services.

    Custom Build Stands

    Exhibitors with custom stands must provide design specifications and stand plan to the Event Manager, Chontelle Grecian by 15 September 2025. Refer to further custom stand specifications below.

    Unless otherwise stated, exhibitors are responsible for making their own arrangements for services required. It is the responsibility of all exhibitors to ensure their contractors or agents are familiar with the rules & regulations of the Grand Millennium Auckland.

    • Anything over a 2.5mtr height requires approval from the AACB Event Manager. 
    • Permits may be required for structures over 3m, and for rigging etc and/or produce a risk assessment for the work undertaken onsite.  

    FLOORING

    The venue is already carpeted.

    ELECTRICAL / LIGHTING REQUIREMENTS

    • For shell scheme stands, 2 LED spotlights and 1 x 10amp power is included.
    • Custom Designed Stands/Space Only: If you have a custom stand, lights and power are not provided. To order electricity you must organise this with Exhibition Hire Services.

    If you are installing any form of equipment on your stand, please ensure you order adequate power. This will alleviate any power surges that may occur due to inadequate power supply.

    Exhibition Area

    The Industry Exhibition will be held in the Pre Function Area and Tasman Room, on the Grand Ballroom level at Grand Millennium Auckland.

    Anything over a 2.5mtr height requires approval from the AACB Events Manager. Permits may be required for structures over 3m, and for rigging etc and/or produce a risk assessment for the work undertaken onsite.

    Floor load limits:

    20 kPa or 2000kg per square metre; for all loads over this limit written approval must be requested.

    Written approval from the venue is required to bring in any heavy and or vibrating equipment that might cause damage to the floor or any part of the Centre.

    Electrical Equipment

    All electrical equipment entering the venue must comply with the local Standards. All electrical equipment used in the workplace, including equipment brought into the building by contractors or third parties must be tagged and tested. 
     
    The venue reserves the right to inspect and remove or replace any electrical equipment not complying with the Act. Power cords which are detachable, such as IEC leads, extension leads and power boards are separate items and need to be tested independently from the equipment they are supplied with.
     
    All exhibitors MUST arrange testing and tagging of all electrical equipment prior to arrival at the exhibition.

    Insurance

    It is the responsibility of each company to maintain insurance cover against injury to person or damage or loss of property in such amounts as the company shall deem appropriate. AACB, the Organisers, Grand Millennium Auckland, or the Conference Secretariat will not be responsible for any loss, damage or injury that may occur to the company’s representatives or property from any cause whatsoever prior, during and subsequent to the exhibition. It is recommended you purchase insurance to cover your property during the exhibition.

    Public Liability Insurance

    It is a requirement that each Exhibitor has Public Liability Insurance with a minimum AUD$10 million cover. Due to our insurance and venue booking requirements, we require a copy of your CERTIFICATE OF CURRENCY by 15 September 2025. Please upload a copy via your exhibitor link or email to chontelle@aacb.asn.au.

    Consequential Damage

    The Committee will not be liable for any indirect or consequential damages arising out of a breach of this exhibition contract.

    Safety Vests

    All Organisers, contractors and exhibitors and their staff must wear safety vests and closed in shoes whilst on the loading dock, service road or in the exhibition during the construction, bump in and bump out of events. Vehicle drivers and offsiders or passengers utilising the dock areas, who intend to exit their vehicle are required to wear a safety vest or approved hi-visibility clothing for safety purposes.

    Storage

    There will be a designated onsite storage area in Boardroom 2, Ground Floor Business Centre. Exhibitors must move all boxes to the storage area; No boxes and packing material should be left on your stand or in the display area during the event. Please ensure all goods are stored in the designated storage area.

    Wi-Fi

    Complimentary wireless internet connection is available all throughout the function spaces and guest rooms.

    Select "Millennium-Conference" then a splash page will come up and select any one from the below:

    Open your browser, a Grand Millennium Auckland Splash page will appear.  

    1) In-house guest – for this option they enter their last name and room number 

    2) Visitor – type in "connect"

    Click “Connect” – this grants 24 hour access.

    If you are returning the following day these steps will need to be repeated to reconnect after 24-hours.
