Sponsor & Exhibition Manual

To assist you in the organisation of your sponsorship and/or exhibition table, please find information below including important facts for the bump in to your table top display trestle table, and registration of staff.

You will also receive a unique link to the sponsors portal, where you can upload your company profile, logo, PDF flyer and sponsors banner (if applicable).  We have also provided an option to include additional brochures, website links and video links in the conference app against your profile. 

Registration

Please refer to your sponsorship package for registration entitlements.  Please register all staff attending via the below link.

Additional exhibitor registrations are $360 incl. GST.  This includes access to all sessions Friday to Saturday, daily catering, and the Welcome Reception.

Move-in - Friday 17 April

Exhibitors access - from 0800.  Trestle tables must be set up and rubbish cleared by 10:00am as delegates enter the room for morning tea. Please pack away boxes and remove rubbish. 

All goods must be clearly labelled using the venue delivery label above.

Move-out - Saturday 18 April

Saturday 18 April from 1600.  Goods must be collected within 48hrs after the event or fees will apply (see storage below).

All goods must be clearly labelled with a completed consignment note attached, ready for collection. 

Deliveries

All deliveries must be made via the loading dock using the attached label

Deliveries will be accepted between 8am to 3pm Wednesday 15 April and Thursday 16 April. If delivering to the loading dock directly on Bump in Day (Friday 17 April), please refer to the loading dock access information here. Deliveries can be made on Friday 17 April from 7am.

All items must be clearly labelled with the NFSA prescribed delivery label to ensure acceptance. Failure to use the correct delivery label may result in rejection of your box or delay in locating your items due to the large number of packages delivered to the NFSA.

Storage

Storage of items during the event: Due to very limited storage areas Exhibitors are asked to store boxes under the trestle, with an overhang table cloth supplied. For larger items there is a small storage area (studio room) adjacent to the Exhibition room, The Gallery.  

  • Storage must be collected within 48 hours after event, failure to do so will incur a $100 per day penalty. Any storage that is unclaimed thereafter will be disposed of and the venue will accept no responsibility of this.  

Insurance

Insurance cover is the responsibility of the exhibitor. Please ensure that you are adequately covered. A copy of your Certificate of Insurance must be upload via the Sponsor portal by 10 April 2026.

Exhibitor liability:

The venue or organiser shall not be responsible for any loss, damage or injury that may occur to the exhibitor, exhibitor’s employees (public or other) or property from any cause whatsoever prior, during and subsequent to the exhibition. The exhibitor, on contracting for space or an exhibition stand, expressly releases the organisers and the venue from, and agrees to indemnify same against, any and all claims for such direct and indirect loss, damage or injury.

Exhibitors shall indemnify and hold harmless the venue and organisers from all liability (damage, incident or accident) which might ensue from any cause resulting or connected with the transportation, placing, removal or display of exhibits.

Each exhibitor should secure insurance at their own cost and expense to cover their equipment, exhibits and display materials. It is the responsibility of all Exhibitors to ensure that they have adequate insurance.
