Sponsor & Exhibition Manual

To assist you in the organisation of your sponsorship and/or exhibition booth, please find information below including important facts for the set up and dismantling of your exhibition booth, and registration of staff. If you have employed custom stand builders for your booth, please ensure you pass this information onto them also.

You will also receive a unique link to the sponsors portal, where you can upload your company profile, logo, PDF flyer and sponsors banner (if applicable).  We have also provided an option to include additional brochures, website links and video links in the conference app against your profile.

Registration

Please refer to your sponsorship package for registration entitlements.  Please register all staff attending via the above link.

Move-in - Friday 27 May

Creative Hire build - from 0600 

Exhibitors access - from 1000.  Booths must be completed by 1130 as the exhibition opens at 12noon.

All goods must be clearly labelled using the venue delivery label above.

Move-out - Sunday 29 May

Sunday 29 May 2022 from 1600.  Goods must be collected within 48hrs after the event or fees will apply (see storage below).

All goods must be clearly labelled with a completed consignment note attached, ready for collection. 

Deliveries

All deliveries must be made via the Hotel’s Concierge Team through the hotel front entrance. 

Deliveries will be accepted between 8am to 3pm Tuesday 24 May to Friday 27 May. Deliveries are not to be made to the loading dock as there is no staff supervision in the area. Rydges holds no responsibility for any misplaced items. 

All items must be clearly labelled with the Rydges prescribed delivery label to ensure acceptance. Failure to use hotel delivery label may result in rejection of your box or delay in locating your items due to being treated as hotel accommodation guest storage.

Storage

Storage of items prior/on the day/or after the event: Due to very limited storage areas for boxes/cartons/crates etc that may be required for the return of Trade Display Items/Equipment, Exhibitors/Conference Facilitators must check with the hotel event coordinator to check if enough storage space is available.

  • Any storage space needed prior to the event, the exhibitor must inform the Event Coordinator. Storage can be kept 3 days before the event. Anything prior will be at a cost of $100 per day.  
  • Storage must be collected within 48 hours after event, failure to do so will incur a $100 per day penalty. Any storage that is unclaimed thereafter will be disposed of and the hotel will accept no responsibility of this.  

Insurance

Insurance cover is the responsibility of the exhibitor. Please ensure that you are adequately covered. A copy of your Certificate of Insurance must be upload via the Sponsor portal by 23 May 2022.

Exhibitor liability:

The venue or organiser shall not be responsible for any loss, damage or injury that may occur to the exhibitor, exhibitor’s employees (public or other) or property from any cause whatsoever prior, during and subsequent to the exhibition. The exhibitor, on contracting for space or an exhibition stand, expressly releases the organisers and the venue from, and agrees to indemnify same against, any and all claims for such direct and indirect loss, damage or injury.

Exhibitors shall indemnify and hold harmless the venue and organisers from all liability (damage, incident or accident) which might ensue from any cause resulting or connected with the transportation, placing, removal or display of exhibits.

Each exhibitor should secure insurance at their own cost and expense to cover their equipment, exhibits and display materials. It is the responsibility of all Exhibitors to ensure that they have adequate insurance.

Venue Covid Safe Plan

Public Spaces:

Increased frequency of cleaning and disinfecting in public areas including lobbies, lifts, public bathrooms, door handles, and room keys. There is also hand sanitiser dispensers throughout all spaces, and social distancing.

Guest Rooms:

On top of regular rigorous cleaning processes, additional disinfecting protocols have been implemented in guest rooms, after a guest departs and before the next arrives, with particular attention paid to hard and high-touch surfaces.

Behind the Scenes:

Increasing the frequency of cleaning and disinfecting, focusing on high-touch areas including entrances, locker-rooms, linen rooms and offices and, of course, in restaurants and bars serving or preparing food and beverages.
