HGSA Virtual Conference

24-25 November 2020

Oral Sessions - PreRecorded with Live Q&A

Oral presenters will prepare and upload a pre-recorded video. The recording is limited to 10 minutes (the balance of 5min for Q&A). (Note: if your recording goes over 10min please be aware this will shorten your live Q&A time).

  • please leave a 5 second gap at the start of your recording before you start presenting (eg. have your first slide showing during this time).
  • Recording resolution: we recommend a resolution of 1080p to make sure the quality is high enough. Please do not go higher than 1080p OR lower than 720p).
  • Please use 16:9 PPT presentation format.

Please read the 'Recording a Video File'  document for assistance with recording your presentation.

Browser & System check

Please use Google Chrome or Edge Chromium to access the platform.  (The platform is not compatible with Explorer or mobile phones)

SYSTEM CHECK:

The OnAir Platform runs a number of programs in the background, to enable the streaming, networking, posters and exhibition to run.

PROGRAMS USED: Vimeo, YouTube, Twilio and Vonage

Please ensure you check that you can access these prior to the meeting.  If presenting from your office, we suggest informing your IT department that the following programs are used in the OnAir Platform, as they may need to unblock access so you can view content.

Setup for live Q&A

Audio & Camera: Ensure you have allowed access to your camera and audio in the browser you are using.  You will also be asked to set these when you log in to the portal, as well as when you enter your session.

Use a quality microphone or headset if possible, preferably connected via USB to help prevent audio issues

Internet: A hardwire connection to the Internet is preferable to wireless or WiFi hotspots.

Instructions on how to join your Session

Please download the 'presenters instructions' on how to join your session for live Q&A.

AIRCast Studio Demonstration Video

NOTE: For pre-recorded presentations, these will be played first and you as the speaker will be placed in the 'Green Room' (along with the chair person) until the end of presentation.  Once the presentation has finished, the speaker and chairperson will be brought onto the 'Main Stage' to answer questions - the Chairperson will moderate and present the questions to the speaker.
